How to ship laptop USPS comes down to three moves. Keep the battery inside the laptop, and pack it so nothing can shift. Then send it by Ground Advantage or Priority Mail with matching coverage.
A new laptop with its lithium-ion battery installed is mailable domestically by air or surface under USPS Publication 52, while a used one goes by surface only with a marking. The battery also has to meet the watt hour limits. Most of the risk sits in the battery rules and the packing, not the postage.
The sections below cover the limits, the marking rule, the packing steps and the real prices for a typical laptop box. They also cover what changes for used, damaged or international shipments.
Can you ship a laptop through USPS?
Yes. Packaging Instruction 9D in Publication 52 makes lithium-ion cells and batteries mailable domestically by air or surface. They must be installed in or packed with the equipment they operate.
That covers a standard laptop with its built in battery. The air option applies to devices that are new in original packaging or manufacturer certified new or refurbished; any other laptop counts as used and travels by surface only, as explained below.
The same instruction sets the size limits. Each cell must not exceed 20 Wh, and each battery must not exceed 100 Wh.
The rating is printed on the battery label or in the device specifications. If you cannot find it, ask the manufacturer before you mail the laptop.
You can also mail a laptop through USPS at a counter or from home. Free Package Pickup covers Ground Advantage, so a laptop box can leave from your porch.
A spare battery is a different case. Lithium-ion batteries sent without equipment are surface only and carry stricter packaging and marking rules. Our guide on shipping lithium batteries with USPS covers that situation in full.
Does a laptop need a lithium battery mark?
It depends on the battery count. A package with no more than four lithium-ion cells or two lithium-ion batteries installed in the equipment needs no DOT lithium battery mark. Anything above that must carry the mark on the address side.
The mark must specify UN3481 for lithium-ion batteries installed in equipment. It cannot be folded. The package must be rigid, sealed and large enough to show the mark flat.
Padded envelopes and poly bags are only for button cells installed in equipment. A laptop belongs in a corrugated box.
One more rule applies if you send several pieces at once. DOT markings must go on every mailpiece when more than two mailpieces make up a single lithium battery consignment.
How to ship laptop USPS, step by step
Here is how to ship laptop USPS without damage. These steps are general good practice for fragile electronics, not USPS rules. Following them protects the screen, the hinge and the battery from the vibration and drops that every parcel sees.
| Step | What to do | Why it matters |
|---|---|---|
| 1. Back up and sign out | Save your files, sign out of accounts and reset the device if you are selling it. | A lost or stolen laptop then exposes nothing. |
| 2. Power off fully | Choose Shut Down, not Sleep, and close the lid. | A sleeping laptop can wake in transit and heat up inside the box. |
| 3. Remove loose items | Take out discs, cards, dongles and the charger. | Loose parts can scratch the screen or press on the keys. |
| 4. Wrap the laptop | Use a sleeve or two layers of bubble wrap, with the screen protected. | Padding absorbs the shock that otherwise lands on the display. |
| 5. Use a smaller box inside a larger box | Set the wrapped laptop in a snug inner box, then center it in an outer box with padding on all sides. | The gap between the boxes cushions drops and crushing. |
| 6. Fill every gap | Pack paper or foam so the laptop cannot slide when you shake the box. | Movement is what breaks hinges and screens. |
| 7. Seal and label | Close with tape on all seams, add the address and a return address, and remove old labels. | Priority Mail and Ground Advantage require a return address. |
The original manufacturer box with its molded inserts is a good inner box if you still have it. If not, any sturdy box works, and the guide on which boxes USPS allows explains what is acceptable.
What does it cost to ship a laptop with USPS?
A boxed laptop with padding often weighs 6 to 8 pounds in total. These are the retail prices from the current Notice 123 for that range, by zone.
| Weight | Ground Advantage zone 1 | Ground Advantage zone 5 | Priority Mail zone 1 | Priority Mail zone 5 |
|---|---|---|---|---|
| 6 lb | $13.50 | $18.40 | $14.90 | $23.25 |
| 7 lb | $14.00 | $19.45 | $15.55 | $25.10 |
| 8 lb | $14.60 | $20.40 | $16.25 | $26.40 |
For example, a 7 pound boxed laptop going to zone 5 costs $19.45 by Ground Advantage or $25.10 by Priority Mail. The zone 8 prices run higher, at $30.60 and $46.75 for the same weight. Use the postage price calculator with your real box size and ZIP codes before you buy.
Priority Mail is listed at 2 to 3 days with no money back guarantee, so the extra cost buys speed, not a promise. Check the Ground Advantage price table for other weights.
For a standard padded box, the weight and the destination zone decide the price, so test both in the calculator.
Is a laptop insured when you ship it USPS?
Ground Advantage and Priority Mail include $100 of insurance for loss, damage or missing contents. That does not cover delay. A laptop is usually worth far more, so extra coverage is the part most senders skip and later regret.
| Declared value | Insurance fee |
|---|---|
| $0.01 to $50.00 | $2.80 |
| $50.01 to $100.00 | $3.50 |
| $100.01 to $200.00 | $4.50 |
| $200.01 to $300.00 | $4.55 |
| $300.01 to $400.00 | $6.05 |
| $400.01 to $500.00 | $7.55 |
| $500.01 to $600.00 | $9.05 |
| Over $600 up to $5,000 | $9.05 plus $1.50 per $100 or fraction over $600 |
Take a laptop worth $1,500. The amount over $600 is $900, which is nine blocks of $100, so the fee is $9.05 plus $13.50, or $22.55. Our USPS insurance fee guide explains how claims and declared value work.
Keep photos of the laptop, the serial number and the packed box. Keep the receipt and proof of value too, because a claim is paid on documented value.
How big can the laptop package be?
Size matters less for a laptop than for most parcels. A padded laptop box is small, and it falls below the dimensional weight line. USPS applies dimensional weight to boxes over 1,728 cubic inches, using a divisor of 139.
A box that measures 18 by 14 by 6 inches comes to 1,512 cubic inches, so it is billed on actual weight. A bigger box of 20 by 16 by 8 inches comes to 2,560 cubic inches. Divided by 139, that bills as 19 pounds, far more than the laptop weighs.
The lesson is simple: do not oversize the outer box to be safe. Pad a snug box well, and measure it first with the guide on measuring a package for USPS.
The maximum is 108 inches in length plus girth, or 130 inches for Ground Advantage Retail.
Should you add Signature Confirmation?
For a high value laptop, yes. Signature Confirmation costs $5.15 retail on Ground Advantage and Priority Mail. The package is then handed over only against a signature.
Adult Signature Required costs $9.70. Adult Signature Restricted Delivery costs $10.00. Extra service fees can be paid with stamps.
Insurance and signatures overlap. A piece insured for more than $500 already gets a signature at delivery under the Domestic Mail Manual, so Signature Confirmation is combined with insurance only when the declared value is $500 or less.
See when USPS requires a signature for the full rules. Tracking history is kept for 120 days, so save the tracking number and receipt.
What if you need to stop or fix the shipment?
Mistakes happen with expensive parcels, so know the options before you ship. Package Intercept costs $19.45 and can redirect or return a package already in the mail.
A Click-N-Ship label can be reprinted until midnight CST of the ship date. Using a duplicate label twice is fraud. An unused label can be refunded online within 30 days of printing.
What about used, damaged or international laptops?
Used, damaged or defective devices are treated differently. Devices that are not new in original packaging, and not manufacturer certified new or refurbished, can go by surface transportation only. The address side must show the text “Restricted Electronic Device” and “Surface Transportation Only” or “Surface Mail Only.”
A used laptop in perfect working order still counts as used, because Packaging Instruction 9D excludes only devices that are new in original packaging or manufacturer certified new or refurbished. Send it by USPS Ground Advantage with that text on the address side.
International shipping is stricter. Publication 52 Packaging Instruction 9E allows batteries only when installed in the equipment, with a maximum of four cells or two batteries per shipment. Each cell must not exceed 20 Wh and each battery 100 Wh.
- A lithium battery consignment is limited to two mailpieces for international and APO, FPO and DPO mailings.
- Used, damaged and defective devices are prohibited internationally.
- The destination country must accept lithium batteries under its Individual Country Listing in the International Mail Manual.
- No lithium battery markings are permitted on international pieces.
Check the destination country listing before you buy postage, because some countries refuse these batteries. For the domestic basics, the general walkthrough on shipping a package with USPS covers labels and drop off.
Bottom line on mailing a laptop
Now you know how to ship laptop USPS without guessing. Keep the battery installed and within 20 Wh per cell and 100 Wh per battery, and remember that only new or manufacturer certified devices may fly.
Pack it snug in a rigid box and buy insurance that matches its real value. Add a signature for anything expensive, and send used devices by surface with the required text.
